FitForge – Gym Membership System with GST Fee Receipt & Expiry Alerts

FitForge is a gym membership system PHP project that runs a gym's plans, fees and renewals online. Members pick a plan and batch, pay the fee and get a proper GST receipt. The system reminds them 7, 3 and 1 day before the plan expires, so renewals are not missed. Trainers check members in, give weekly workout plans and record body checks. The admin manages plans, batches, cash fees, reminders and reports.

How it works

• Admin adds membership plans (price with GST) and batches with a seat limit
• Member registers, chooses plan, batch and start date – places left are checked live and the seat is locked while saving
• Member pays online (Razorpay test mode / demo) or the admin records cash at the desk – a GST receipt with CGST, SGST, amount in words and QR is created
• An early renewal starts the day after the current plan ends, so no day is lost
• Trainer or front desk checks the member in by member ID or by scanning the QR on the member card
• Automatic expiry alerts at 7 / 3 / 1 days go to the member and the trainer; finished plans become Expired
• Admin sees expiring and expired-not-renewed members and sends reminders in one click

Frequently asked questions

Does it work without internet? Yes. Demo payment mode, charts, QR codes and all libraries are inside the project and work offline on XAMPP.

Is Razorpay payment real? It uses Razorpay test mode – no real money moves. The setup guide explains how to get free test keys.

Can I change the plans and GST rate? Yes. Plans, batches, GST %, alert days and the payment mode are all managed from the admin panel.
